Newsletters migration

Mailchimp → Beehiiv

Move an audience, newsletter archive, fields, segments, forms, automations, sending identity, and consent evidence from Mailchimp to Beehiiv without reactivating suppressed contacts or sending twice.

Before you migrate

Should you make this move?

Both platforms have a case. Compare what you gain with what you give up before scheduling the cutover.

Current platform

Mailchimp

Reasons to stay
  • A broad small-business marketing suite combines email, contacts, forms, and campaigns
  • Audience, campaigns, automations, and reporting live in one publishing system
Reasons to leave
  • Pricing, interface complexity, and audience-based billing can become frustrating
  • Automation logic, analytics history, and deliverability settings are not very portable
New platform

Beehiiv

What gets better
  • Newsletter publishing, growth, referrals, and monetization are tightly integrated
  • Audience, campaigns, automations, and reporting live in one publishing system
What gets worse
  • Complex lifecycle automation and broader marketing workflows are comparatively limited
  • Automation logic, analytics history, and deliverability settings are not very portable
Best of the move

Beehiiv: Newsletter publishing, growth, referrals, and monetization are tightly integrated. This removes a major source-side concern: Pricing, interface complexity, and audience-based billing can become frustrating.

Worst of the move

What you lose: A broad small-business marketing suite combines email, contacts, forms, and campaigns. What you inherit: Complex lifecycle automation and broader marketing workflows are comparatively limited.

This timeline assumes

  • One audience with at most 100,000 contacts, 50 tags, 20 merge fields, and 10 active journeys.
  • You control both accounts, DNS, forms, websites, Stripe when paid subscriptions exist, and every sending integration.
  • Only contacts with valid consent enter the active import.
  • Mailchimp remains read-only through two successful Beehiiv sends.
  • A small pilot cohort is imported before the full audience.

Backup procedure

Create the source-of-truth backup

Preserve audience eligibility, content, configuration, and sending evidence.

  1. Export subscribed, unsubscribed, cleaned, and complained contacts separately.
  2. Export tags, groups, fields, campaigns, reports, templates, forms, journeys, integrations, and domain settings.
  3. Record totals by status and active segment.
  4. Hash raw exports and transform copies only.

Proof to capture: A manifest reconciles every status, segment, campaign, form, journey, and file hash.

Transformation · Spreadsheet or SQL

Eligibility ledger

Prevent inactive contacts from being reactivated.

  1. Join contacts to status and consent evidence.
  2. Assign import, suppress, or investigate.
  3. Reconcile totals.

Proof to capture: Save the input, output, command or tool settings, warnings, and final item counts.

Transformation · CSV validator

Beehiiv import file

Create deterministic fields and tags.

  1. Normalize headers and encoding.
  2. Remove duplicates from the active set.
  3. Test a representative pilot.

Proof to capture: Save the input, output, command or tool settings, warnings, and final item counts.

05Handle with care

The things most likely to hurt.

These are operating limits. Treat every “Stop if” condition as a blocked migration, not a suggestion.

Import

Suppressed contacts become active

criticalpossible likelihood

Beehiiv active count exceeds approved eligibility.

Consequence
Complaints and compliance exposure.
Mitigation
Import only the signed active file.

Stop if: Any inactive seed receives mail.

Cutover

Both platforms send

criticalpossible likelihood

Mailchimp journeys remain live after Beehiiv starts.

Consequence
Duplicate messages and inconsistent state.
Mitigation
Freeze source triggers before destination activation.

Stop if: A seed receives duplicate mail.

Sending

Authentication or reputation regresses

criticalpossible likelihood

DMARC alignment fails or bounces spike.

Consequence
Mail is rejected or placed in spam.
Mitigation
Verify DNS and send in cohorts.

Stop if: Authentication fails or thresholds exceed baseline.

07The point of change

Cut over with a way back.

Go live

Cutover

Make Beehiiv the only intake and sending system.

Recommended window: Tuesday or Wednesday morning, 48 hours before the next major send.

  1. Pause Mailchimp campaigns and journeys.
  2. Export and import the final delta.
  3. Reconcile accepted, rejected, active, and suppressed totals.
  4. Replace every form and webhook.
  5. Send to seeds, then staged cohorts.

Proof to capture: One system collects and sends, with reconciled counts and passing authentication.

Return to safety

Rollback

Return acquisition and sending to Mailchimp without losing Beehiiv changes.

Deadline: Within 72 hours and before more than one production broadcast.

  1. Stop Beehiiv sends and automations.
  2. Restore prior forms and integrations.
  3. Export post-cutover Beehiiv signups and suppressions.
  4. Apply reviewed deltas to Mailchimp.
  5. Run seed tests.

Proof to capture: Mailchimp receives one test signup and sends one correct message while Beehiiv is disabled.

Rollback immediately when
  • Unexplained audience variance
  • Inactive contact reactivation
  • Duplicate journey messages
  • Authentication failure
  • Material complaint or bounce increase

09Post-migration cleanup

Remove the scaffolding safely.

Safe after: Two successful sends, one complete journey, and 14 days without a rollback trigger.

  1. Export final Mailchimp evidence.
  2. Revoke unused API keys and webhooks.
  3. Remove obsolete embeds and scripts.
  4. Delete plaintext working CSV files.
  5. Keep Mailchimp read-only through the approved retention period.
  6. Schedule a quarterly deliverability and consent review.
